Pricing & Terms

  • 1 The provider/requester or agent of the provider has obtained authorization for reimbursement for interpreting services before reserving Dorothy Hodge. If the consumer's insurance company declines to pay for interpreting services, the provider automatically becomes the paying party and promises reimbursement for the amount of any charges that are not covered in a timely manner (30-45 days).
  • 2 Dorothy Hodge shall be paid a 'minimum fee' equal to $ ____ per assignment that requires up to 1.5 hours of interpreting services. Additional time shall be calculated at $____ /hour in thirty-minute increments.
  • 3 Dorothy Hodge shall be paid a 'minimum fee' equal to $ ____ per specialty assignment, such as legal, psychiatric, or emergency medical, that requires up to 1.5 hours of interpreting services. Additional time shall be calculated at $ ____ /hour in thirty-minute increments.
  • 4 Dorothy Hodge shall charge for mileage and travel time. Portal-to-portal shall be charged at the current federal rate, and travel time shall be charged at one/half the hourly rate.
  • 5 Dorothy Hodge requires a three full business-day cancellation for a 1.5-hour assignment. Cancellation must be emailed three full business days before the day of the assignment. Business day means (8 AM-4 PM). Cancellation of ongoing assignments (weekly, monthly, semester) shall be negotiated on a case-by-case basis; however, notification of cancellation must be emailed no less than five business days in advance.
  • 6 Dorothy Hodge shall be paid the minimum fee regardless of the duration of the scheduled time up to 1.5 hours and shall be paid for the entire amount of time that is requested to be reserved when over 1.5 hours.
  • 7 In the event that the patient/consumer does not show up or is sick, Dorothy Hodge is to be paid for the entire amount of time reserved.
  • 8 Interpreters/transliterators may charge a pay differential for special circumstances (i.e., emergency assignments, last-minute requests, legal assignments, DCYF assignments, or forensic/psychological/neurological/ educational testing). Pay differential will be at the interpreter/transliterator's discretion. Examples may include but are not limited to $10/hr. Pay differential for assignments that begin before/after normal work-day hours (8 AM – 4 PM) and whose duration falls during evening hours, a $10/hr. Differential for legal assignments, a $15/hr. Differential for weekend assignments, and time and one-half for Sundays and holidays. For situations where a team interpreter is requested and cannot be found or when a team interpreter is absent, the pay rate shall be charged at time and one-half.
  • 9 Payment for services is due thirty days from the invoice date. Invoices that are paid late will be assessed an additional .05% interest for each additional thirty-day period.
  • 10 In the event of inclement weather, Dorothy Hodge will cancel at no cost to the requester only when the local authorities have officially declared a weather emergency.
  • 11 Each assignment will be deemed a separate assignment and will be billed separately in the following instances: When one provider services two or more separate deaf consumers consecutively, when one deaf consumer sees different providers consecutively, in a single location, and when one provider services a consumer consecutively at different locations.
  • 12 If the provider/requester agrees to these terms, s/he can email his/her request. The reply email will serve as confirmation.

Tax Credits

Your business may qualify for an annual tax credit between $250.00 – $10,000.00 for all of your reasonable accommodations expenditures under the Americans with Disabilities Act.

Requesting Interpreting Services

The requestor should provide Dorothy Hodge with the following information:

A) Name and phone number of requesting party (paying party)
B) Name(s) of consumer(s). Is the consumer an attendee or presenter?
C) Day, time, and precise location (address, bldg., floor, dept, suite, and room)
D) Length of assignment:
If the requesting party reserves an interpreter/transliterator for a specific number of hours, and the interpreter is needed for a longer period of time, the additional time shall be negotiated with the interpreter and may include a pay differential.

It is generally necessary for the interpreter/transliterator to obtain supplemental authorization from the hiring agency/insurance agency before continuing past the contracted time.

E) Nature/type of assignment. (Medical, Legal, Educational, Business/Organization Meetings)
F) Consumer's language preference, if known.
G) Billing information (address, contact name, phone number)
H)Are there any preparatory materials available for the interpreter? (PowerPoint Slides, Minutes, Website, URLs?) Dorothy Hodge shall use discretion when determining whether a Certified Deaf Interpreter (CDI) or Deaf Interpreter (DI) is needed to work as a team member. The CDI/hearing interpreter team is able to communicate more effectively than a hearing interpreter alone and is often used in pre-trial legal proceedings. Each interpreter receives the message (from the speaker) in one communication mode, processes it linguistically and culturally, and then conveys it in the appropriate communication mode (to the listener). The CDI and hearing interpreter team work together to understand a deaf individual's message and confer with each other to arrive at the most accurate interpretation (RID).

Definitions

"Requester" means any person, agency, or entity that secures the services of the interpreter/transliterator. The requester is financially responsible for the provision of said services and may also be referred to as the paying party.

"Contract time" means the entire time for which the interpreter has originally been scheduled. This includes any time when the interpreter is not actually interpreting but is on location and available to interpret, including any waiting time, breaks, and meal times.

"Qualified Interpreter" means an interpreter who is able to interpret effectively, accurately, and impartially, both receptively and expressively, using any necessary specialized vocabulary.

Note: The definition of "qualified interpreter" recognizes that the skill level needed for certain types of communication may be higher than for other types of communication. An interpreter who can provide "effective" and "accurate" interpretation in a one-on-one conversation may not be qualified to provide the highly skilled interpreting needed for a [medical, mental health, or legal setting]. 28 C.F.R. 36.104
